Warm transfer: handing over to the right rep at the right moment

A warm transfer is the moment the voice agent that took or made the call hands it live to someone on your team, without hanging up. That is often where the sale is decided: an interested customer transferred at the right moment signs more easily than one called back the next day. Badly set up, it is also where you lose them. Here are the settings that make the difference.

Transfer only when it is useful

A transfer costs a salesperson's time. It should happen once the person has answered the questions that matter to you and shows real interest: a project, a timeline, a budget, a meeting request.

Write these criteria down. The agent applies them on every call, the same way, which no team does by the hundredth conversation of the day.

The right rep, not the first one free

Depending on how you work: by area, by product, by language, or simply in turn. A customer transferred to someone who does not know their subject hangs up fast.

Plan a fallback: if the intended rep does not answer, the call should not ring out.

Never leave the customer waiting

Plan what happens if nobody picks up: offering a callback or an appointment at a specific time beats hold music running until the customer gives up.

At Nodical, an unanswered transfer is flagged as such and moves up among hot contacts, to be called back first.

The rep does not make the customer repeat

Nothing is more annoying than explaining your need twice. The agent announces the transfer to the customer, and the rep should know who is on the line and what was said before speaking.

At Nodical, every call is recorded and transcribed in your workspace: the rep finds the full exchange, including afterwards.

Hours when someone can answer

A transfer only makes sense if your team is there. Outside its hours, the agent does not transfer: it qualifies, takes notes and books an appointment in the right rep's calendar.

For prospecting, the calls themselves must stay within the applicable hours and rules.

Measure what happens after the transfer

How many calls transferred, how many picked up by a rep, how many meetings or sales behind them. If reps rarely pick up, it is an organisation problem; if they pick up but close little, the transfer criteria need reviewing.

Listen to a few transfers each week: it is the fastest way to fix both.

FAQ

Questions we get asked

Does the customer know they were talking to a voice agent?

Yes. The agent introduces itself as an automated assistant from the start, then announces it is handing over to a person on the team.

Can calls be transferred to a mobile?

Yes, to the number you give, landline or mobile, in France or in the covered countries.

What if the rep is already on a call?

The transfer goes unanswered: it is flagged as such and the contact moves up among those to call back first. Hence the value of having several people to receive transfers at busy times.
