AI voice agent for a real estate agency: what really happens on the phone
In real estate, everything starts with a call and almost nothing survives a missed one. The hard part is not getting enquiries, it is answering them while the buyer is still looking at the screen. Here is what a working day in an agency actually looks like, and what a voice agent changes in it.
Nobody picks up while you are out showing property
An agent's day is built around the road. A viewing, a handover, a trip to the solicitor, photos to redo, a seller to reassure. While that happens, the line rings and there is no one behind it.
Buyers rarely leave a message. They hang up and call the next listing, sometimes yours on another portal, more often the agency down the road. By the time you call back in the evening, you reach voicemail or someone who has already booked their Saturday with somebody else.
This is not a scheduling failure. Fieldwork and phone work compete for the same hours, and fieldwork always wins because an appointment is already in the diary.
A viewing request does not age well
Someone searching for a home does not write to one agency. They send the same form on several listings within minutes, same message, same number. At that moment they have no preference: they have a budget, an area and a free weekend.
Whoever calls back while they are still browsing speaks to an attentive person who explains the project, the mortgage situation, the available slots. Whoever calls two days later speaks to someone who has already viewed elsewhere or no longer wants to repeat the story.
Your knowledge of the street, your way of running a viewing, none of it shows before the call is answered. Response time simply decides who gets to show the property.
The valuations and contacts nobody follows up
Beyond inbound calls, there is everything else. Valuations done and never converted into an instruction, listings coming to the end of their agreement, buyers seen once and then forgotten, owners who wanted to test a price and have not heard from anyone since. The database exists, it just stays closed.
A seller with no feedback after a viewing cools down on their own. Two or three spaced calls are often enough to get a clear answer on a price adjustment, a renewal or a second visit. A no is better than silence: it frees your diary.
This work takes consistency more than talent. That is why it always slips behind everything else, and why hiring someone purely to dial numbers is hard to justify in a company of a few people.
Cosa cambia davvero un agente vocale
A voice agent answers 24/7, including evenings and weekends, and calls a web enquiry back in under 60 seconds. It introduces itself as an assistant, asks which property, the plan, the area, where the financing stands, offers a viewing slot in your calendar and hands over as soon as the conversation goes beyond its role. It does not negotiate and commits to no price.
It also carries what usually gets dropped: feedback calls to the seller after a viewing, two or three follow-ups on valuations that never became instructions, reconnecting with old contacts. Every call comes back to you recorded and transcribed, with the useful details. The minute is billed by the second, with no subscription: you pay for talk time, not for an empty seat.
Nothing is fixed. Every week we listen to calls and adjust the questions, the order of the script and the calling windows, within the rules in force. You keep the viewings, the valuations and the negotiation, the agent keeps the repetitive part.
Le domande che ci vengono poste
Can the agent answer about a specific listing?
It works from your live properties: availability, type, area, main features. It does not comment on price and makes no commitment. As soon as a question falls outside that scope, it transfers the call or books a callback with you.
What happens when the property is already under offer?
It says so plainly, then asks about the caller's plan and offers an appointment to present similar properties. A call that used to end in a dead end becomes a qualified contact in your database.
Will sellers accept talking to an automated voice?
It states from the first seconds that it is an assistant, gets to the point and always offers to put a person on the line. What annoys an owner is a promised callback that never comes, not a few clear questions.
Una chiamata persa non è un messaggio in segreteria. È un cliente che chiama il numero successivo.
